Why Switching Sales Tax Providers Is Easier (and Harder) Than You Think

A tax time sticky note on a keyboard

For one reason or another, it may be time to consider switching sales tax providers. Your current provider has become too expensive, the service has been poor, or you prefer a change. Whatever the reason, switching providers can be trickier than it seems if you don’t know what to expect.

Switching isn’t just a paperwork issue; it can impact filing access, deadlines, penalty exposure, and audit defense. The good news? With the right plan, the transition can be smooth and stress-free.

In this article, we’ll walk through practical tips that can save you time and effort, and help you determine whether the new provider you’re considering is genuinely worth the switch.

Step 1: Full Transparency

When you sign with a sales tax provider, your information should be fully accessible to you at all times. That includes sales tax certificates, filed returns, state logins, and related documentation.

You may not feel the need to check everything every month (that’s why you hire someone, right?), but you must know how to access your information in case of an audit, a notice, or an emergency.

If you’re reading this and realize you have no idea where your certificates, returns, or state account details are located, double-check now while the relationship is still active.

Before switching, confirm you have access to:

  • State online account logins (or the ability to reset credentials)
  • Copies of previously filed returns (PDFs are best)
  • Resale/exemption certificate storage (if applicable)
  • Registration confirmations and state account IDs
  • Power of Attorney (POA) or third-party access documents (if your provider uses them)

Quick horror story…

We’ve seen cases where clients hired “cheap” providers who, after cancellation, refused to share information, or even tried to charge extra just to hand it back. That’s why it’s never wise to use non-reputable individuals or businesses for a service that involves sensitive tax accounts and documentation.

Step 2: Tax Filing Deadlines!

Each state you’re registered in sets its own sales and use tax filing frequency. That could be monthly, quarterly, semi-annual, or annual. Most states have tax filing deadlines around the 20th of the month, but there are plenty of exceptions.

If you’re planning to switch providers, the most important thing is to avoid a situation where both providers assume the other is filing. That’s when late filings happen, and penalties add up quickly.

A smooth transition requires organization, clear notice to your current provider, and your next provider ready to start immediately.

A simple transition timeline:

  • 30+ days before the next filing deadline: confirm access, gather prior returns, confirm registrations
  • 2–3 weeks before the deadline: the new provider validates portal access and checks your jurisdiction list
  • 1 week before the deadline: confirm exactly who is filing which returns (especially during the transition month)

There are always one or two states that can be problematic, and if you leave things too late, you can be hit with hefty penalties, even if your sales tax is correct.

Step 3: Hands-On or Hands-Off

Not all sales tax providers operate the same way.

Some providers are “portal-based” and require you to upload information, resolve login issues, and troubleshoot state access problems on your own. If they can’t log in, they may simply send it back to you to fix, with little direction, which can be stressful if you don’t know what to do.

Other providers offer proper managed support and will take action on your behalf.

When choosing a new provider, ask how they handle common issues:

  • If they can’t access a state portal, what happens next?
  • Will they contact the state on your behalf?
  • Will they handle notices, or just forward them to you?
  • Do they assist with POA forms or account access updates?

This is often what discourages people from switching providers, but if you find a provider who truly handles these issues hands-on, you may be making an upgrade that saves you time and frustration every month.

Step 4: Who Owns the State Accounts and Notices?

This is one of the most overlooked (and most important) factors when switching sales tax providers.

In some setups, the provider may register accounts using their own email or manage logins through their internal systems. Other times, official state notices may be sent to the provider’s address, so you might not even see an issue until penalties have already accumulated.

Before switching, confirm:

  • Are the state accounts registered under your business email, not the provider’s?
  • Is your business mailing address listed correctly for each state?
  • Where do state notices currently go: you, the provider, or a third-party address?
  • If you terminate the provider, will the state still send them letters or notices?

Missed notices are one of the most common causes of surprise penalties during provider transitions. Getting account ownership and correspondence settings right protects you even after the switch is complete.
